YOUR ROLE AND RESPONSIBILITIES
You’ll deliver short and long term projects that support the business strategy. This will involve:
Perform basic filing, maintain and enter data into company systems as needed
Provide information by answering basic questions and requests
Assist in the creation of reports and presentations, create and prepare materials and presentations for departmental meetings and monthly reports
Plan and coordinate departmental events, training sessions, and meetings including communication, scheduling, and catering
Assist with creation, revisions, and maintenance of work instructions, reports and spreadsheets
Coordinate with Executive Assistant for ordering of office supplies for department
Assist with booking/scheduling travel for team members
Seek out additional opportunities, tasks and assignments from Manager to maximum time and team efficiency
Assist with department specific needs including:
Enter order confirmations from suppliers into the system
Review price updates from suppliers together with Supplier Responsible and Buyer
Expedite or De-Expedite orders from Supplier Responsible and Buyer
Perform updates on purchase orders once order has shipped from supplier
Assist in the Supplier File creation process including compliance screening
Review of order dates and overdue dates with the Supplier Responsible and Buyer
Work backorder reports with Supplier Responsible and Buyer to identify alternate suppliers for purchase orders
Record and follow-up actions from Supplier visits for Supplier Responsible and Buyer
Collect and assist with resolving receiving issues together with Supplier Responsible and Buyer
Assist Supplier Responsible and Buyer in ordering and tracking new product development samples
Assist Supplier Responsible and Buyer and Accounting with matching and approval of invoices
Create end of month reports for Supplier Responsible and Buyer and/or management team
Track data for Supplier Responsible and Buyer including backorders, inventory, and/or overdue dates
Learn to document work in an organized manner
Accept and act on feedback from leadership
Work collaboratively in a team environment to learn about and strive to achieve departmental sales goals and balanced scorecard objectives
Work professionally and in a positive and respectful manner with other TVH departments
Understand TVH’s Mission, Vision, Values, and culture Performs other duties as many be assigned

Must possess a minimum of one year work experience performing substantially similar administrative essential functions
Must possess a minimum of one year customer service experience
Demonstrates proficiency navigating and assisting others with navigating web based software systems
Demonstrates effective verbal, written and interpersonal communication skills with a proven ability to communicate effectively across all levels of the organization
Demonstrates effective organizational, time management and follow up skills
Demonstrated ability to effectively manage and prioritize multiple tasks
Must be team oriented, possess a positive attitude and collaborate effectively with others to achieve goals in a fast-paced, deadline driven environment
Demonstrates intermediate proficiency using Google Mail, Sheets, Docs, Calendar, and Excel
Demonstrated ability to work with other departments to achieve business objectives
Demonstrates professionalism, discretion and confidentiality
Demonstrates a desire and commitment to promote and share the TVH mission, vision, values, and culture
Preferred - Associate’s degree from an accredited college or university in related field of study
